The ISO19650 standard is clear. For each construction process, a document goes through 4 stages in its life:
- WIP (work in progress)
- SHARED
- PUBLISHED
- ARCHIVED.
Sharepoint is powerful for managing your working documents (WIP) and your archives. But when it comes to collaborating with your partners, your IT department is reluctant to open it to the public for security reasons, your management fears that financial information will be inadvertently made accessible, etc. Additionally, Sharepoint's features are meager in terms of traceability, monitoring and workflows (eg. approvals). For those reasons, collaborative and/or document control platforms are then set up. But the problem is that if someone is not responsible for archiving them in Sharepoint, the information is lost and/or is not properly communicated internally. Production teams work on bad versions of plans. Communication is complicated.
